The Challenge

Managing end-of-day transportation changes was critical for student safety, yet the manual system was inefficient, error-prone, and lacked emergency visibility.

The front office team had to:

  • Handwrite transportation changes on color-coded slips, printed, cut, and manually maintained.
  • Transcribe changes onto classroom rosters, ensuring teachers accounted for dismissal modifications.
  • Physically deliver paper rosters and change slips to classrooms before dismissal.
  • While functional, this system had major flaws:
  • No digital record of changes, leaving leadership without emergency visibility.
  • Cumbersome, time-consuming manual processes, reducing front office efficiency.
  • Risk of transcription errors, creating potential student movement discrepancies.

The Solution

To remove manual inefficiencies and enhance security, we implemented a Google Sheets & Google Forms system:

  • Each teacher had a dedicated tab in the spreadsheet, ensuring clear, focused visibility of only their students.
  • Each parent had a pre-filled classroom form link, streamlining entry by only requiring student ID and change details.
  • Real-time auto-updates, giving continuous visibility for teachers, front office staff, and leadership.
  • Strict timestamp cutoff compliance, ensuring only requests submitted before the deadline appeared in teachers’ tabs for accuracy and safety.
  • Bus roster tab, listing students by bus, accessible live so all dismissal staff had visibility—even if a teacher set down their printed list.
  • Clear absence tracking, ensuring both the teacher tab and bus tab displayed whether a student was present, preventing dismissal discrepancies before buses departed.
  • Daily printed bus lists with highlighted changes, ensuring security checks as students boarded buses.
